These Terms & Conditions ("Terms") govern the provision of virtual assistant services by vabyclaudia ("I", "me", "my") to clients ("you", "your"). By engaging my services, you agree to be bound by these Terms.
About vabyclaudia
vabyclaudia is a UK-based virtual assistant business operated by Claudia, providing remote administrative and business support services to entrepreneurs, small businesses, and professionals.
Services
Services offered include, but are not limited to: inbox and email management, diary and schedule management, virtual PA support, invoicing and client administration, CRM and database management, and client communication and support. The specific scope of services will be agreed with each client individually, typically following a free discovery call.
Discovery calls and onboarding
An initial discovery call is offered free of charge to discuss your business needs and agree how I can best support you. There is no obligation to proceed following this call. Once you decide to go ahead, we will agree the scope, schedule, and pricing of the work before any services begin.
Fees and payment
Services are charged at an hourly rate, from £35 per hour, unless otherwise agreed in writing for a specific project or retainer arrangement. Invoices will be issued in line with the agreed payment terms and are due within the timeframe stated on the invoice, typically within 14 days of issue. Late payments may incur additional administrative charges or a pause in ongoing work until payment is received.
Cancellations and changes
A simple working agreement is put in place for all services, but there is no long-term tie-in. Ad-hoc and project work can be cancelled at any time with reasonable notice. Ongoing retainer arrangements may be adjusted, paused, or cancelled with notice as agreed at the outset of the working relationship. Work already completed or in progress at the time of cancellation will be charged accordingly.
Confidentiality
All client information, business data, and communications shared in the course of providing services are treated as strictly confidential. I will not disclose any confidential information to third parties without your consent, except where required by law.
Client responsibilities
To enable services to be delivered effectively, you agree to provide accurate information, timely responses, and any necessary access (such as to accounts, tools, or systems) required to complete agreed tasks. Delays in providing this access or information may affect timelines.
Limitation of liability
I will carry out all services with reasonable care, skill, and professionalism. However, I cannot be held liable for any indirect or consequential loss arising from the use of my services, nor for delays or issues caused by third-party tools, platforms, or services outside of my control. Nothing in these Terms limits liability for matters which cannot legally be limited or excluded, such as fraud or death or personal injury caused by negligence.
Intellectual property
Any materials, templates, or processes created specifically for you as part of agreed services belong to you upon full payment. Any general tools, templates, or methods I use across my business remain my own intellectual property.
Data protection
Any personal or business data shared with me will be handled in accordance with the Privacy Policy and in compliance with UK GDPR and the Data Protection Act 2018.
Changes to these Terms
These Terms may be updated from time to time. Continued use of my services after changes are made constitutes acceptance of the updated Terms. The most current version will always be available on this page.
Governing law
These Terms are governed by the laws of England and Wales. Any disputes arising will be subject to the exclusive jurisdiction of the courts of England and Wales.
